For mortgage brokers
Stop drowning in client paperwork
We turn half-finished client uploads into approve-ready files
You didn't become a broker to chase paperwork or double-check bank statements by hand. We check every document a client sends, match it against your rules and against the rest of the file, chase down anything wrong or missing, and hand it back ready to approve.
WORKS WITH YOUR EXISTING TOOLS · BUILT BY A SENIOR PAYMENTS ENGINEER
Payslip — March
Bank statement
Proof of deposit
Photo ID — passport
P60
Council tax bill
Utility bill
Every document checked against your rules and each other, then chased if it's wrong, before it reaches your desk
01 — The problem
The work that pays you is stuck behind the work that doesn't
The payslip from the wrong month
The client did send something: a payslip from the wrong month, an ID that expired in spring. You find out when you open the file, and now you’re chasing the same document twice.
The rejection three weeks into the case
An underwriter finds the mismatched name or the missing page weeks after submission. The case restarts and the completion date slips. You break the news to the client, over a document that was wrong on day one.
The case frozen on one document
A whole application sits parked because one bank statement never came back. While it's stuck you can neither bill it nor advance it, even though it's carrying £800 to £1,600 of proc fee. You won't see that money until the case moves, and for some it never does.
02 — The fix
Turn whatever clients send into mortgage files ready to approve
Every document is checked, and checked against the others
A payslip from the wrong month, an expired ID, a bank statement in a different name than the passport: every document is checked on its own and against the others, so none of it reaches you marked 'received' until it's right. The system asks for a fresh copy automatically, before an underwriter finds the problem three weeks in.
We learn how your firm actually works
First we sit with how your firm really runs: what you ask for, in what order, per case type, and where cases stall. The system gets built around that, not a textbook version of a firm. That's the difference between something you use and something installed once and abandoned.
It runs inside the tools you already use
Then we wire the chasing into the tools you and your clients already live in: your CRM, your email, WhatsApp, e-signature. Reminders go out from your systems, replies land where they always do, and your CRM updates itself as documents arrive. Nothing new to log into, for you or your clients.
Your clients chase themselves
From there the reminders send themselves: polite the first time, firmer if a document runs late, on the schedule you approved. The client gets nudged without you lifting a finger, the file fills up on its own, and the moment something needs a human it stops and flags you.
CRM · email · WhatsApp · calendar — works inside the tools you already have.

04 — Who's behind it
Culmentech was founded by Roman Kormysh, a senior software engineer who spent years building payment systems where a lost document costs real money. The setup is built and run by engineers who understand regulated data. It works inside the tools your firm has already paid for and builds around how it actually runs.

Automation that never outranks you
The system checks, chases documents and tracks their status. Regulation requires a human in the loop on every case, and the setup is built that way: advice, decisions and exceptions stay with the adviser.
01
Advice stays with the adviser
The system checks documents, chases what's missing, and tracks status. It never gives advice, answers a product question or talks to a lender.
02
You approve the messages once, up front
Reminder templates, tone and escalation timing are agreed with you and locked in before go-live. Nothing reaches a client that you haven't signed off.
03
Exceptions stop the automation
A stalled client or an unexpected reply halts the sequence and routes it to you. It never improvises with your client.
04
Data stays in the firm's systems
Documents live in your CRM and your email. Culmentech configures the flow; it never copies your clients' data into a separate system we control. Data flows are documented for your compliance file.
Built to support FCA obligations, not to route around them.
First we find what it's costing you. Everything after that is your call.
01
A free 15-minute audit
We go through your actual document flow: where cases stall, what gets rejected by lenders, and what it's costing you. No slides,no obligation, you walk away with the findings whether we work together or not.
02
What's actually possible for your firm
Then we work out what fits you specifically, where automation can slot into the way you already work instead of getting in the way. Nothing templated: it's shaped to your firm, or it isn't worth doing.
03
What it's worth, in writing
If it's worth acting on, we give you two numbers up front. One builds and launches the system, and it costs a fraction of the value we found together. The other is a flat monthly retainer that keeps it running and improving as your caseload changes. We agree both before any work starts, and both stay small against what it saves you, so you keep the larger share every year. No hourly billing, no scope creep: the numbers you agree are the numbers you pay.
If it isn't live and chasing in 14 days, you're refunded
Some consultancies charge £499 to audit your process. Ours costs you only 15 minutes.
We look at your real process. Currently onboarding our first cohort of brokers — that's why the audit is free.
The next payslip should chase itself
